Cetec ERP releases are a great idea.

The latest release of Cetec ERP is here! Cetec ERP 3.5 is now in users’ BETA environments and is scheduled for deployment to live cloud environments on April 24, 2020. Read on for a list of major new features, general updates, and fixes:


Major new features:

New Backlog By Customer report! In Sales » Customers » Backlog By Customer, reporting exists to group order backlog by customer and break out into 30 day buckets into the future, to give a forecasted amount of order shipment value.

New ability for Quote BOM Worksheets to NOT update the permanent BOM list automatically upon Order Entry (Commit To Order from Quote). There is now a “Block BOM Update” checkbox in the BOMQuoteWorksheet header area. Note, there is also a new config value “BOM Quote - Default ‘Update Order/Temp Bom Only’ to Yes”. Input ‘1’ in this config setting, and the above checkbox will be turned ON (i.e. checked) by default.

New bonus column (i.e. User Defined Field) data type! You may now assign a data type of “Text Area” to a bonus column. This enables you to add user-defined fields on allowed business Objects that can contain large amounts of text (previously the text restriction was 100 characters).

Customer portal accounts and Vendor portal accounts may now upload Documents (e.g. drawings, etc.) to their own Customer and/or Vendor accounts, in addition to any quote, order, invoice, pquote/RFQ, or PO transaction related to that customer’s or vendor’s account.

New PO line overage percentage control configuration option. To enable, set ‘PO Line qty over percentage allowed’ config option to a value between 0 and 100. This represents the percentage greater than the po line qty allowed to receive. You can put in a ‘-1’ in this field to disable this config option altogether.

Incoming inspection business objects now have the ability to upload/store Documents and Notes to them.

User Role/Security setup helper. In Admin » Users » Security By Role there is a new interface that let’s you easily block/allow access to numerous of the most common actions in the ERP system.


Other enhancements:

For cases where you have a high volume of order transactions and potentially multiple invoices underneath a single customer PO number, you can now sort and group those consolidated invoices together underneath the customer PO number, and you can have those sorted/grouped invoices sent in batch overnight via Consolidated Invoice Notifier (setup per customer account).

Warehouse » Cycle Count reporting enhancements! The Cycle Count report now contains the following new fields:

  • Total value of inventory counted (sum of all the items from all the lines inside that cycle count, multiplied by their bin value at time of the most recent “update”)

  • Total quantity of inventory counted (sum all items’ unit quantities from all the lines inside that cycle count at time of last “update”)

  • Total number of adjustments (total number of bins that have any difference between actual & expected at time of last update)

  • Total $ value of adjustments (sum of all lines inside the cycle count ((bin_actual_qty - bin_expected_qty) * bin_cost_) )

  • Inside a particular Cycle Count, new fields include: Most Recent Update Date (on bin), ABC Code, and Bin Value (per item)

  • Inside a particular Cycle Count, when you input the Actual Shelf Qty, if that Qty matches the expected bin Quantity, the Inv Adjustment Reason code will default to “No Adjustment Needed” (or whichever Inv Adjustment Reason code you have coded to not adjust inventory in Admin » Maintenance » Data Maintenance » InvShortageReason).

  • Inside a particular Cycle Count, you may input all Qtys and Reason Codes and then simply click a “Set All” button at the top of the table (instead of having to click “Set” each row).

New KPI/Dashboard: rolling 12 month breakout summary of Cycle Count program runs; specify dates 12 months previous to “today” and today for the “Before” and “After” date fields.

New ability to clone/copy a labor plan / routing from another BOM Revision onto the Order Specific Labor Plan (Work Order » Maint/Etc » Labor Plan)

Customer Ship-To Addresses are now selectable via “Smart Search” (where you can start typing, and it will attempt to smart-match) on Quote Headers and Quote Lines. This is helpful if you have potentially very large numbers of Ship-To Addresses associated with a single customer record.

Add ability to edit the Vendor on a Purchase Order (instead of forcing the user to delete the PO and go back and re-enter it with a different vendor).

New and improved Vendor PO Edit functions, enhanced UI to mirror how Customer Quote and Sales Order Line items are edited (e.g. new “Add Line” button, Change All Lines feature, etc.)

New config option to block creation of new prcpart numbers from the BOMQuoteWksht interface. To enable this behavior, set ‘BOM Quote - Require Component Parts To Exist’ config option to ‘1’ to turn ON.

New security control and Two-Factor Authentication configuration options:

  • Logins may now be restricted to an IP whitelist. To enable, look for config value of “Valid IP Ranges”. These values must be specified in CIDR Format (https://en.wikipedia.org/wiki/Classless_Inter-Domain_Routing). If multiple IPs are specified, they must be comma separated for multiples (e.g. 192.168.12.1/255, 192.168.12.23/257) Enabling this configuration setting will restrict user logins to only allow login from those IPs specified.

  • Logins may also be set to bypass your default multifactor authentication setup. To enable, look for config value “Skip Multifactor Authentication In These IP Ranges”. Values should Be In CIDR Format, comma separated for multiples (e.g. 192.168.12.1/255). Enabling this config setting will allow user logins within those IP Ranges to not require Multifactor Authentication.

  • New config setting “Remember Multifactor Authentication For _ Days”. Once set, this will require Multifactor Authentication only every x number of days (instead of every login).

Add flag to filter by “non-inventory” parts in Parts » Reports » Historical Part Demand report.

Lead times are now able to be defined on both Vendor-Level Cost/Qty breaks and Resale/Qty breaks in the Part Pricing tab of any part record. (Note: Cost/Qty breaks without a vendor assigned do not have the leadtime option).

Add multi-select behavior to Quote Workflow Stage filter on Quote List; this lets you filter on multiple workflow stages at once in the Quote List report.

Upon switching Quote Header address input from Ship-To to Temp Ship-To, all previously selected ShipTo address fields will copy to the Temp Ship-To fields (behavior consistent with how the Order Header edit temp-shipto address works).

Sales Order Pro Forma Invoice PDF and Order Acknowledgement PDFs now include the customer’s Ship-To Address “Attn” line by default.

Quote “Costing Sheet” now includes Price/Qty breaks defined on relevant Quote Lines.

Vendor Performance report now contains ability to filter out intercompany transactions (e.g. build-to-stock work orders, warehouse transfers, etc.) to help you grade only your external Vendors.

New toggle option exists on financial reports (P&L, Balance Sheet, Cost Centers, Trial Balance, and Retained Earnings) to ensure Account Hierarchy Structure (as displayed on the report in the interface) flows through to the Excel Export spreadsheet format, i.e. to maintain account indentation per hierarchy structure.

Quote Line item edit enhancements:

  • Change All lines feature now includes ability to let you change all lead times, Quantities, and Work Start Dates.

  • Work Start Date now at top-level of Quote Line and able to be edited on the fly (like Ship Date and Dock Date).

  • Quote Line lead time is now able to be imported via Quote Lines spreadsheet import.

New lot/serial schema masking lets you define a number of digits/characters to strip off of a Prcpart and/or Partnumber in defining lot codes and/or serial number schemes.

Add ability to specify number of rows per page in Voucher List for the Batch Voucher Pay function in AP > Voucher List.

New restriction to disallow “moving” a file/document from one Object to another Object if the user performing the move doesn’t have permissions to edit the destination Object. E.g. if a user does not have permission to Edit Part, then they will be blocked from the ability to move a Document from a Purchase Order object to a Part object.
