How to Use A/R Payment Rounding Adjustments in Cetec ERP

Overview

The A/R Payment Rounding Adjustment feature helps you complete payments when an invoice has a value smaller than the currency precision shown on screen. It identifies the small difference between the exact amount applied to invoices and the payment amount you entered, then lets you add the required write-off.

The feature is available on both A/R payment edit pages:

  • Standard edit page: /arpayment/{id}/edit
  • New edit page: /arpayment/{id}/edit_new

It is designed for small precision differences only. It does not replace normal partial-payment, unapplied-cash, credit-memo, or write-off workflows.

Before You Start

  • You need access to A/R Payments and permission to update the payment.
  • The payment must be active.
  • Use the invoice's displayed balance for normal payment entry.
  • Use the rounding adjustment only when Payment Value matches the invoice's displayed full balance, but Raw Applied Total differs slightly because the invoice stores more decimal places.

What Changed

The payment edit pages now include two values next to Payment Value.

Raw Applied Total: Shows the exact, unrounded total applied to the included invoices and other payment components.

Rounding Adjustment: Shows the small write-off needed to reconcile Raw Applied Total with Payment Value.

An Apply button is available when there is a rounding adjustment on an active payment. Payment Complete is disabled until a non-zero rounding adjustment is applied.

The values recalculate after you commit a change to Payment Value, an Apply amount, an invoice inclusion, a discount, unapplied cash, a credit memo, or a write-off.

Why the Feature Exists

Invoices can contain more decimal places than are displayed in the payment screen. For example, an invoice may display as $441.98 while its exact unpaid balance is 441.9783.

If you enter the displayed amount of $441.98, the payment and invoice are visibly aligned but differ by -$0.0017 at full precision. Without a write-off, that residual can prevent the payment from being completed cleanly or leave a small balance behind.

The rounding adjustment makes that difference visible and gives you a controlled way to offset it.

Key Concepts

Displayed amounts and raw amounts

Displayed amounts use your currency precision, usually two decimal places. Raw amounts preserve the exact stored calculation.

For a full invoice payoff, the system recognizes that the entered Apply amount matches the displayed rounded invoice balance. It then uses the invoice's raw balance in Raw Applied Total.

Example:

Invoice Value: $441.98

Raw invoice balance: 441.9783

Entered Apply amount: $441.98

Raw Applied Total: $441.9783

This is expected. It means the system is treating the invoice as a full payoff, not a partial application.

Full payoffs and partial applications

For a full payoff, Raw Applied Total uses the invoice's exact remaining balance.

For a partial application, Raw Applied Total uses the amount you entered. For example, if an invoice's raw balance is 441.9783 and you enter $100.00 in Apply, Raw Applied Total is $100.00. No rounding adjustment is created merely because the invoice itself has extra decimal places.

Signed rounding adjustments

The adjustment is calculated as:

Raw Applied Total − Payment Value

For the example above:

441.9783 − 441.98 = -0.0017

A negative adjustment means the entered payment is slightly greater than the exact applied total. A positive adjustment means it is slightly less. The system preserves the sign when it adds the write-off.

Complete a Payment with a Rounding Adjustment

Example: invoice raw balance of 441.9783

1. Open the active A/R payment.

2. Include the invoice.

3. In the invoice's Apply field, enter the displayed balance: $441.98.

4. Click or tab away from the Apply field to commit the value.

5. Enter $441.98 in Payment Value.

6. Click or tab away from Payment Value to commit the change.

7. Confirm the following values:

Raw Applied Total: $441.9783

Rounding Adjustment: -$0.0017

1. Confirm that Payment Complete is disabled and the rounding adjustment Apply button is enabled.

2. Click Apply next to Rounding Adjustment.

3. Review the write-off/charge added by the system. It uses the displayed signed adjustment.

4. Confirm that the payment totals balance and Payment Complete is enabled.

5. Click Update to save the payment, then click Payment Complete.

How Apply Works

Selecting Apply resolves the small precision difference without changing Payment Value.

1. If needed, it changes the invoice application behind the scenes to the invoice's exact raw balance. This prevents an overpayment caused by applying the displayed rounded amount.

2. It adds a write-off/charge equal to the rounding adjustment so the payment balances exactly.

For example, if Payment Value is $441.98 and the invoice's exact balance is 441.9783, Apply retains the $441.98 payment, applies 441.9783 to the invoice, and adds a -$0.0017 write-off/charge.

Review the added write-off before completing the payment. Your organization may require a specific GL account, cost center, or location for write-offs.

Completion Safeguards

  • Payment Complete remains unavailable when payment totals do not balance.
  • Payment Complete is also disabled while a non-zero rounding adjustment has not been applied.

These safeguards prevent a small rounding difference from being silently ignored. They do not prevent normal partial payments; a partial payment must still follow the standard A/R payment workflow and balance normally.

Common Tasks

Check whether a difference is a rounding adjustment

Use the rounding workflow when all of the following are true:

1. Payment Value matches the displayed rounded total.

2. Raw Applied Total differs only by a small fraction of a currency unit.

3. The invoice is being paid in full.

If Payment Value differs materially from Raw Applied Total, review the included invoices, Apply amounts, discounts, unapplied cash, credit memos, and write-offs. That is a balancing issue, not a rounding adjustment.

Use a partial payment

1. Include the invoice.

2. Enter the partial amount in Apply.

3. Click or tab away from the field.

4. Set Payment Value to the same partial amount, accounting for any normal charges, discounts, credit memos, or unapplied cash.

5. Complete the payment through the standard workflow.

Raw Applied Total should use the partial amount entered. A rounding adjustment should remain $0.00 unless there is a genuine full-payoff precision difference.

Review an existing or closed payment

Raw Applied Total and Rounding Adjustment remain visible for review on active and closed payments. The Apply button is available only while the payment is active.

Troubleshooting

Payment Complete is disabled

Symptoms: Payment Complete is unavailable, and the page shows a non-zero Rounding Adjustment.

Resolution: Click Apply next to Rounding Adjustment, review the added write-off, save the payment, and confirm the totals balance.

If the adjustment is much larger than a small fraction of a cent, do not apply it. Review the payment applications instead.

Raw Applied Total shows the invoice raw value after entering the displayed full balance

Symptoms: You enter $441.98, but Raw Applied Total shows $441.9783.

Resolution: This is expected for a full payoff. The system uses the exact invoice balance so it can calculate the required rounding adjustment.

Raw Applied Total does not update while typing

Symptoms: The value remains unchanged while the cursor is still in Payment Value or Apply.

Resolution: Click or tab away from the field. The payment screen recalculates after the field change is committed.

No rounding adjustment appears

Symptoms: Rounding Adjustment is $0.00 or Apply is disabled.

Resolution: Confirm that the payment is a full payoff and that Payment Value equals the displayed rounded Raw Applied Total. A partial payment or a larger mismatch does not qualify as a rounding adjustment.

The write-off cannot be saved

Symptoms: Applying the adjustment adds a write-off, but Update or Payment Complete shows an error.

Resolution: Complete any required GL account, cost center, or location fields for the write-off, then save again. Contact your accounting administrator if you do not know which accounting values to use.

Frequently Asked Questions

Does this change the amount received from the customer?

No. Payment Value remains the payment amount you entered. The adjustment records the small accounting difference needed to reconcile the exact invoice balance.

Should I use this for a $5.00 difference?

No. Investigate a difference of that size as a normal payment-balancing issue. Rounding Adjustment is intended for small precision residuals.

Why is the adjustment negative?

A negative value means the entered Payment Value is slightly greater than Raw Applied Total. A positive value means it is slightly less.

Can I complete the payment without applying the adjustment?

No. A non-zero rounding adjustment disables Payment Complete until it is applied or the underlying payment entries are corrected.

Does the feature work with credit memos, unapplied cash, and write-offs?

Yes. Raw Applied Total accounts for those components when calculating the payment's net raw total.
