Globalizing and Localizing Documents in Cetec ERP

May 10 2023

Most manufacturing teams rely on shared documents to keep work moving, customer requirements, drawings, instructions, and reference files. If those files live in email threads or personal folders, they get missed at the point of use and you end up with preventable questions and rework.

Cetec ERP supports attaching documents to records (like customers or parts) so they surface where your team is already working. When a document should apply to every record of a given type, you can globalize it, and if it needs to be pulled back to a single record later, you can localize it.

How Document Attachments Flow Between Records

In Cetec ERP, you can attach a document directly to an object such as a customer. When that customer places an order, those customer documents are visible within the order’s documents area. This helps keep context close to the transaction your team is processing.

Upload a Document to a Single Record

Start by navigating to the record you want to manage. Using a customer as the example, open the customer record and go to the Documents page in the left-hand navigation.

From the Documents page, follow the standard upload process. Click the browse or add link, select your file, and upload it. After upload, the document appears in the list of documents for that record.

Globalize a Document Across All Records of the Same Type

If the document should apply to every object of that type (for example, every customer), use the Globalize action on the document row. After you click globalize, that document will appear in the documents area for every other object of the same type.

Localize a Global Document Back to One Record

After a document is globalized, the action on that document changes to Localize. Localize is used when you want that file to exist on only one record again.

For example, if a document was uploaded to Part 1 and globalized, it will also appear on other parts, such as Part 2. If you localize it from Part 2, the document will remain only on Part 2 and will no longer appear globally across that object type.

Key Takeaways

  • Attach documents to a specific record so they surface alongside related transactions and work.
  • Use Globalize when the same document should appear on every object of the same type.
  • After globalizing, use Localize to pull the document back to a single record location.
  • Choose global versus local based on who needs the document and where they expect to find it.

Conclusion

Globalizing and localizing documents in Cetec ERP gives you a simple way to manage shared files without copying and re-uploading them across records. Used consistently, it helps your team find the right reference documents at the point of use and keeps document visibility aligned to your workflow.
