Editing Workflow Defaults in Cetec ERP

When a workflow step defaults to the wrong person or role, you usually feel it immediately. Approvals stall, tasks bounce between users, and it becomes harder to predict when a quote, order, or internal request will actually move forward.

Cetec ERP handles this through Workflow Maintenance. If you need to change who a workflow defaults to, the fix is typically a few clicks, but it matters because workflow defaults drive day-to-day routing and accountability.

Navigate to Workflow Maintenance

In Cetec ERP, go to Admin, then Maintenance, then Workflow Maintenance. This is where you manage the default users and roles for each workflow type.

Select the Workflow You Want to Change

Workflow Maintenance opens the workflow list. Find the workflow type you want to update, then select Edit. For example, if you need to adjust routing for quoting, find Quote and open it for editing.

Update the Default Roles and Users

Inside the workflow, you will see one or more tables that control who the workflow can assign to and who it defaults to. Update the tables by clicking to select a role or user. To remove an entry, use Ctrl-click to deselect.

As a quick decision rule, set the default to the role or user that should own the step most of the time. If ownership changes frequently by customer or by job type, keep the options broad, but make sure the default still reflects your normal operating path so work does not idle in the wrong queue.

Key Takeaways

  • Workflow defaults matter because they determine who sees work first and how fast it moves.
  • Use Admin, Maintenance, Workflow Maintenance to find and edit workflow assignments.
  • Select roles and users with a click, and remove entries with Ctrl-click.
  • Default the step to the most common owner to avoid stalled approvals and misrouted tasks.

Conclusion

If a workflow keeps defaulting to the wrong person, fixing the assignment in Workflow Maintenance can remove a recurring source of delay. Once the default owner matches how your team actually routes work, workflows stay predictable and tasks move without unnecessary handoffs.
