How To Manage Units of Measure (UOMs) and UOM Conversion Auto Calculations

1. Open Cetec ERP and click Admin, then Maintenance, then Data Maintenance. Search for the units of measure (UOM) data maintenance table and click into it.
2. To create a new UOM for use in your system, click Add Record, type a name and description for this UOM, and then click Submit to save your changes.
3. Next, in order to teach Cetec how two different UOMs relate to each other, you'll need to set the UOM conversion. To do this, click Maintenance, then Unit Conversions.
4. Once on the Set UOM Conversions screen, click Show Create. Now you can set a UOM conversion. In the From UOM field, select the first unit of measure. In the To field, select the second unit of measure.
5. If you're creating a UOM conversion that is not specific to just one part, skip the fields on the second line and just click Create to save the two UOMs you entered.
6. You'll see that the UOMs appear together on a line at the bottom of the screen. Your next step is to tell Cetec how they relate mathematically to each other; in other words, how to convert from one UOM to the other.
7. For example, if you're converting from yards to feet, you'd enter 3 in the first field to indicate that one yard equals 3 feet, and Cetec would auto-fill the second field, determining that, since 1 yard equals 3 feet, then 0.3333333 yards equals 1 foot. To save the conversion, click Set.
8. Let's look at an example of how to create a UOM conversion that is part specific. Let's say we're creating a unit of measure conversion that applies to a specific part only, since we buy the part from a vendor who uses the UOM "each" but we want to record this specific part in our inventory in "sets" of 10 parts.
9. After navigating to the Set UOM Conversions screen and adding the UOMs Set and Each for this conversion, click into the drop-down for Prcpart Specific, select Part, enter the part number in the Prcpart field (in this example, part NEU2000), and then click Create.
10. When setting the conversion rate at the bottom of the screen, tell Cetec that 1 "set" equals 10 "each" of this part. Cetec automatically does the other piece of the conversion, setting 0.1 "set" as equal to 1 "each" of this part.
11. Find the part record for NEU2000 and click Edit in the left side menu to add a UOM for this part. In the UOM field choose Set, then click Update. Click View in the left side menu and note that the UOM for this part now shows as "Set."
12. Click Purchasing, then PQuotes, then New PQuote to create a new purchasing quote and return to part NEU2000.
13. After entering the header information, enter part NEU2000 on the pquote line, enter a quantity of 10 and a unit cost of $100, then click Add. Cetec populates the UOM "Set" on the pquote line since that is the default UOM for this part.
14. Click the pencil icon to edit the line UOM so the purchasing quote reflects a UOM of "Each," verify the unit cost, and click OK to save the change.
15. After converting the purchasing quote to a purchase order and receiving the parts, Cetec prompts you to confirm that although the part was ordered with a UOM of "each," it should be received with a UOM of "set" using the UOM conversion.
16. Confirm by clicking the orange Set button. A message appears confirming the unit cost and quantity conversion, and the quantity changes to 1.
17. Click Receive and follow the link for the new PO line receipt to confirm that Cetec received the quantity as 1 set and that the receipt cost was recorded correctly.
