How To Setup & Use UPS WorldShip Shipping Integration

Enter the following information into corresponding fields in the Admin » Config Settings module of Cetec ERP:

- ups_host (host name / IP address) 
- ups_port (FTP port) 
- ups_user (FTP user) 
- ups_pass (FTP password) 
- ups_dir (destination directory)

The file that Cetec ERP will FTP to the WorldShip computer will be named UPSINFO.csv and will contain a header row with these columns, in this order: Reference, ShipName, ShipAddress, ShipAddress2, ShipCity, ShipState, ShipZip, ShipCountry, Phone, PONum, BillingCode, 3rdPartyAccountNum, PackageType, ShipVia, BillName, BillAddress, BillCity, BillState, BillZip, BillCountry, and EmailAddress.

Your WorldShip system should also be configured to write data to a file named UPSOUT.csv after each shipment. Data should be in this format: Reference, Freight Charged, Tracking Number, Void (Y/N)”. UPS WorldShip can be configured to send this data back to Cetec ERP (to update the corresponding shipments/invoices) on a recurring basis (e.g. nightly, twice/day, etc.)

UPS WorldShip integration is a technically intensive setup process. If you need help, contact your Cetec ERP support representative for technical support!

How To Use UPS WorldShip Integrated Shipping In Cetec ERP

  • Make sure that an order has a UPS Ship Via method selected.

  • Navigate to the Invoice/Ship screen of an order and ensure a Ship Qty has been set on an order line item.

  • Click Packing Slip to download a copy of the packing slip for that shipment.

  • If the above defined configuration options have been set in the Cetec ERP configuration settings table, when an order’s packing slip has been downloaded/printed in Cetec, that order’s [Reference, ShipName, ShipAddress, ShipAddress2, ShipCity, ShipState, ShipZip, ShipCountry, Phone, PONum, BillingCode, 3rdPartyAccountNum, PackageType, ShipVia, BillName, BillAddress, BillCity, BillState, BillZip, BillCountry, and EmailAddress] are automatically translated into a CSV file, which is then delivered in real time (i.e. each time a packing slip is downloaded) to the UPS World Ship Machine (usually installed on a Windows desktop/laptop on the warehouse floor). Technically, the .CSV file outputted from Cetec will contain all open orders updated (i.e. with an Order header status of ‘Pending Invoice’ or ‘Packing Slip Out’) and ready for shipment to the UPS WorldShip system.

  • Any orders that have been sent to UPS WorldShip from Cetec may then be weighed and shipping labels may be printed out from UPS WorldShip.

  • Upon completion of the manifest process in UPS WorldShip, your WorldShip system will write the following data back to a file to be sent back to Cetec ERP: Reference (Order/Invoice Number, Freight Charged, Tracking Number, Void (Y/N)”. UPS WorldShip can be configured to send this data back to Cetec ERP (to update the corresponding shipments/invoices) on a recurring basis (e.g. nightly, twice/day, once per hour, etc.)

  • Cetec ERP by default is automatically setup to look for anything that has been sent back from UPS WorldShip software. By default, the cloud Cetec ERP environment is scheduled to perform this “fetch” of Shipping data once per hour on the hour. Once the shipment is “fetched” from WorldShip, Cetec ERP will automatically update the freight cost and the tracking number on the corresponding invoice/shipment record in Cetec ERP.

  • Note! The freight provided back from the UPS system should be the freight value per tracking number; thus, if there are mulitple shipments for a given invoice, Cetec will add up the freight across all tracking numbers (boxes) for that shipment.

Please Note

  • Your WorldShip system must be configured to expect the UPSINFO.csv file with the above columns/fields. Your WorldShip system should also be configured to write data to a file named UPSOUT.csv after each shipment.

  • If something isn’t working properly with your Cetec / UPS integration, or you have a UPS shipping method that isn’t supported via the UPS WorldShip tie to Cetec, continue shipping by manually entering tracking number information and freight cost information into the appropriate fields on the order/invoice in Cetec ERP.

  • Shipping integration via UPS Web Services API is NOT currently supported, as it is not currently widely used in the manufacturing market.
