Cetec ERP Release 4.16

We are excited to announce that Cetec ERP 4.16 has been released to BETA!

Cetec ERP 4.16 will be rolled out to LIVE cloud environments in late July or early August. We are looking forward to seeing our customers take advantage of the number of new features in Cetec ERP 4.16, all geared to make daily tasks simpler and teams more efficient!

Important new features:

  • Due Dates can now be set in the Workflow. When Due Date is set, an email with an ics calendar invite is sent to the user who is assigned the workflow. The Workflow state will then be highlighted in green for a future date or in red if past due. The Workflow Due Dates can be displayed on the new versions of the Quote List, Sales Order List, Production Order List, PQuote List and User Task List. Visit our guide to learn more.

  • New labor split helper! When splitting a work order into discrete quantities (i.e. into separate work orders), if you are selecting segments of labor/overhead time and cost on the work order, previously it was “all or nothing”. Now, if you select one or more labor segments to move to the split work order, there is a new “fractional split?” helper tool. If you select the “fractionally split?” checkbox, this will take the ratio of the quantity of the work order being split, and apply that ratio to divide the labor up between the two work orders being split. In other words, fractionally splitting work will move x% of already recorded labor on this work order over to the new segment on the split, leaving the remaining y% labor still recorded on the original order line, where “x” and “y” correspond to the ratio of the work order split quantity. (NOTE: this functionality is only available on the “new version” of the work order split screen, and only available when labor segments have been checked/selected to move to the split.) Visit the how to here.

  • You can now customize your own work order traveler (“license plate”). On the Documents section of a work order, see the new “see preferences” link. This will open up a preview screen where the user can check/uncheck fields to dynamically change what information is included in the layout of the license plate. These settings will save per user for the next time that user prints a license plate. Visit our guide.

Other new features:

  • In “new versions” of modules, the Notes section now includes a “notes summary” grid at the top of the notes screen, which shows the number of notes that exist for each note type, and shows the content and date/time stamp of the most recent note on that object.

  • On the BOMQuoteWorksheet, if the component is a member of a part spec group (i.e. of customer or engineering approved material substitutes) you can swap it via dropdown select instead of having to click into the pencil component line edit.

  • Increased barcode scanning ability at receiving! For incoming receipt packing slips that have barcoded part numbers, you may now first scan the PO number barcode (with carriage return), and then immediately scan the part number on the packing slip; this will auto-select the first PO Line item with a matching part number on the receiving screen.

  • The invoice “details/serials” (traceability) screen now contains a new section at the bottom of the screen which will display any/all outsource POs (subcontract work) that was linked to the work order that invoice/shipped.

  • The “historical part demand” report now contains a filter to help you control for parts consumed/used due to internal warehouse transfers as opposed to true shipments or use.

  • Inside a BOMQuoteWorksheet, subassembly part numbers may now be edited directly “in-line” (on the field itself) instead of requiring the user to click the pencil icon and manually edit the part number.

  • New auto-population behavior to set “customer associations” on quotes/orders (e.g. inside sales and/or outside sales and/or any other customer association type.) Now, if you set the config option “Default Primary Sales To User” to ‘2’, then the user ID who created the new quote/order will be auto-assigned into the CustomerAssociation field or fields that user is qualified for in their user profile.

  • There is a new helper tool on part inventory records to automatically suggest a standard cost for a part. To use the tool, you can input a number into a new field called “Costing Lot Size” (or, if left blank, it will assume this value is ‘1’). This number will be used as if you were running a “Set Build” calculation in BOM Overview cost estimation to calculate the total rollup cost estimate for a given BOM part for that particular quantity as the “lot size”. The result of that calculation is what will be set as the “standard cost” for a part if you select the “Use BOM Rollup” option from the Set STD Cost dropdown before clicking Update to change/set the part standard cost value. The other option would be to set the standard cost according to the pricing engine.

  • The Pick Parts export now includes date code, lot code, ref designator, and pick comments. This Pick Parts .csv export may be accessed via the Documents tab on any work order.

  • Vendor returns that are closed will now have a Re-open button in order to allow you to edit Description, Comments and Bonus Column fields on a closed Vendor Return.

  • A default checkbox can be selected for cross parts. This is useful if an internal prcpart number has multiple cross parts of the same cross part type. When the default checkbox is marked, then that particular cross part will auto populate on PQuote/PO lines upon selection of the prcpart by default. Note: if you specify a customer or vendor record associated with the cross part, then you could specify multiple defaults for crossparts of a single cross part type (one default for each customer/vendor).

  • An update button has been added to the top of the pick parts page; previously you could only update and register a pick by scrolling to the very bottom of the page and clicking Update.

  • There is now a Dock Date filter on the PO Receipts list you can use to filter receipts by their respective PO Line Dock Date (i.e. the date they were supposed to arrive at your receiving dock).

  • New backend Admin functionality to control input of formatting of inputs in sensitive config settings. For example, if GL Lock Date setting is in any format other than yyyy-mm-dd, the system will now throw an error indicating the bad format, which should help avoid system errors due to incorrect input of config settings/formats.

  • There is now a document “File Size” filter on the Documents List. The filter can be displayed in bytes, kilobytes, megabytes or gigabytes.

  • BOM import automation feature: if you name column headers properly in your .csv or spreadsheet, the select box mappings to identify and map fields will smart match and automatically default. For example, the prcpart column on spreadsheet will default and auto-assign as prcpart in the select box within the BOM import mapping screen.

  • A new filter exists on the “View Work” report which allows you to filter the time log and work entries by a single Project ID, narrowing time entries according to that project and consolidating time logged to all work orders which subsist under that project.

  • There is now a new field on the vendor master record where you can input x number of “discount tolerance days”. This establishes a vendor-specific grace period around which discounts can still apply despite vendor payment terms. If a ‘discount grace period’ is set on the vendor, this will override what is on the terms code for the vendor; then, Cetec ERP will modify the AP payment screen, the voucher list, and the voucher batch-pay functions accordingly. Note: discounts are not automatically applied/claimed on the AP Payment processing screen, but are shown and can be manually applied.

  • New production management feature: there is now a new column on the Production Order List (New Version) called “External Customer”. If a work order (build to stock) is created from a Sales Order, this field will show the External Customer the WO was created for.

  • The Accounting » Audit » AR - Invoice Vs Ledger now supports multi-currencies; see filter for transaction currency and display currency.

  • Two new roles have been created in the Roles data maintenance table and added to a user to grant permission to edit Quote/Order and PQuote/PO terms.

    • Can Edit Quote/Order Terms
    • Can Edit PQuote/PO Terms
